Once you have received your stamp, do you keep any of your submittal documentation?

What submittal documentation? Do you mean the submitted copy? I delete it after getting the approval and just keep the approval.

I have the PDF files printed and in a folder, stored on several drives, thub drives and a cloud drive.

If you lost all the drives could you get a copy from the ATF?

I have all the paperwork but I’m thinking of just keeping copies of the trust and the tax stamp approval page.

I still have every piece of paper associated with NFA, but I should probably toss everything but my current trust docs and stamps.

- My original trust and all the stamps are in sheet protectors in a 3 ring binder in my safe.

- Stamp copies and 5320 travel for my SBRs in gallon zip lock in my range bag.
- Digital copy on my computer, with Google drive backup.
- Digital copy of all stamps in cloud storage "NFA vault" on my Silencer Shop login.

My safe and stamp setup is about the most organized area of my life.

I have four silencers and one SBR. I don't have the original applications for any of them. The silencers were all done on form 4's via the dealer and a SS kiosk. The SBR form 1 was submitted online via ATF's site. I have all the approval forms in my safe, stamped ones for the silencers and a printed copy of the approval PDF for the SBR. I also keep copies of all of them in my range bag and in the glove box in my truck. They were all individual applications, so no trust.

I keep all original documents (many of mine were issued in the 80’s and 90’s so many of mine have the real stamp on the approved form) in a bank safe deposit box and in addition to these originals I have made two copies of each.

I have two - 3 ring notebooks in my vault and each copy is in its own plastic sleeve. One book remains in my vault at all times and the other is stored in the vault and I grab it when I take anything NFA item to the range. It is identified as my “Range Book”. Having multiple NFA items, this method makes it easy for me to ensure I have my required documents with me every time. The two books also have a copy of my Trust.

Yes, I mean my submitted copy. I have them in PDF, but I was wondering whether I need to keep the printed copies.

I do have all the PDF files in e-mail, backed up on another drive, and backed up in the cloud.

Yes, I can re-download approvals via the ATF account.

All of my printed docs (Trust and stamps) are in a 3-ring binder also; I also keep some informational docs about each item so other members of the trust know what each item is and is used for. I also keep printed copies of the documentation with each NFA item.

Keep the originals in the gun safe. Store copies on iCloud, OneDrive, or wherever you can easily access on your phone should you need to provide proof of lawful possession. Same with your trust, if applicable, and assignments of property.

FedEx Office can make full-color copies in reduced sizes of the approved Forms 4 with tax stamps and laminate the copies. You can keep those laminated copies with your NFA items just in case your phone dies at an inopportune moment (such as when a LEO is asking to see your docs). That's the belt-and-suspenders approach. Wink
