If you need two-sided, a document feeder is a must. I think you can get away with an inexpensive HP printer. I thought I saw one for less than $100 at Costco last time that had a document feeder.

"It did not really matter what we expected from life, but rather what life expected from us. We needed to stop asking about the meaning of life, and instead to think of ourselves as those who were being questioned by life – daily and hourly. Our answer must consist not in talk and meditation, but in right action and in right conduct. Life ultimately means taking the responsibility to find the right answer to its problems and to fulfill the tasks which it constantly sets for each individual." Viktor Frankl, Man's Search for Meaning, 1946.

Checkout the Fujitsu ScanSnap iX500. A Master Sargent I use to work with scanned every document he owned, about a filing cabinets worth so he would not have to move it when moving. He absolutely loved it. It costs $420 on Amazon.

Been using ScanSnap S1300 for about 6 years. It's been very solid and can do a lot more than I use it for. Small foot print, double sided scanning, easy to clear jams, 600x600 optical resolution, color, gray scale BW, reasonably fast depending on the resolution you choose.

I'd buy it again.

Don't use a phone. It will take too long and I'm pretty you'll then have to somehow move the documents to a server. Not practical. Having those documents on the phone might not be HIPAA-compliant either.

For business, use the ScanSnap as others have mentioned. Creates a pdf that you can search and it is fast as I understand it.

If it was just occasional documents, to scan (less than 20 a week) I'd go with a regular Brother MultiFunction setup. I have one and it's OK for what it does.

If I needed to scan a bunch of stuff fast, I'd go the ScanSnap route.

Thanks for the suggestions.

Several people have mentioned multifunction devices. Nah, she already has a Brother multifunction printer that has a scan function. It works fine, but it is excruciatingly slow.

For years, the use of Practice Fusion software for computerized patient records has been available in her office but using it was optional. My wife found it easier to write notes and keep them in old fashioned file folders. Now, the decision has been announced that all patient records need to be in the software database. Retroactively.

With the massive amount of data that she needs to scan, a multi-function printer is just too slow. A dedicated scanner that will grab both sides of a sheet in a single pass is much faster.

Of those that have been mentioned so far, the Fujitsu ScanSnap series has been mentioned the most. Brother also has a few -- we have always had the best luck with Brother for printers, don't know about their scanners. Branch manager at my bank has a Canon scanner at his desk, he says it's great.

I used to have a higher end HP scanner, I bought used on EBAY.

After about 10 years it died.

I used to be a heavy user but I only occasionally scan now.

I replaced it with a HP ScanJet Pro 2500 for $220 on amazon.

Set up in 10 minutes and off it went.

I use adobe acrobat for scanning software.

Just be sure whatever software you use is compatible.

Speeds: Achieve scan speeds up to 20 pages per minute, 40 images per minute, and 1,500 pages per day with single-pass, two-sided scanning to help automate workflows
Auto document feeder: Load up to 50 pages for fast, unattended scanning

With patient information I wouldn’t chance it. Maybe hire professionals to securely back up the files.

Looks like a good product for my needs. I’ve looked at several online reports, including Amazon, but still have two questions:

#1 – When you change the toner cartridge, does toner get scattered about? Some, a little, none?

#2 – I know printing is monochrome, but it’s not clear if scans of colored sheets will produce color JPEGs.

I'm confused. What is it that you wouldn't chance?

If you're talking about the software system, my wife really has no choice (other than to leave the practice). She is not in charge. Her opinions on this don't count.

The owners of the practice have mandated that all patient records will be maintained in the software package that they have chosen: Practice Fusion. This mandate is retroactive, so my wife's years of paper files need to be scanned in. No choice. Not negotiable. It's their way or the highway. Adding insult to injury -- the software is not free of course, there's a monthly fee for it, and they are charging her (and her peers) a pro-rated portion of the cost.

She is staying late most evenings to do this, and is going in on weekends. She is not a happy camper when she drags her weary self home. I try to pamper her when she gets in, but the best thing seems to be staying out of her way, other than preparing dinner for her.

I'm sort of her tech support guy, so I'm looking for a way to make this easier for her. Right now, the only scanner in the practice is not available to her during normal business hours, so I'm looking at getting one for her. Once the historical backlog is in the database she won't need to scan anything. Ongoing patient notes can just be typed in, and she can log into the system and do it either in her office or here at home. Her historical files are so big that typing them makes no sense; the system will accept scanned PDF files. They don't have to be searchable, as in OCR, they just need to be accessible by patient name and date of the appointment, so fancy-schmancy scanning software is not needed, just make a PDF and drag / drop it into the database, rinse, repeat for next patient / appointment date.

I don't have that exact model, but we do have several siblings in the Brother family.

1) I never had any toner leakage when changing the cartridges. Everything stays clean.

2) It prints monochrome, but scanned images (your choice of TIF, JPG, PDF, and maybe others that I don't remember) can be B&W or color. You select via a drop-down menu at the time of scanning. I think you can set a default.

Ah I misunderstood. I thought she would have to host the data herself didn’t realize it was being uploaded to a EMR system.

We probably bought it about 1.5-2 years ago and have gone through several reams of paper. So far we're still using the included toner cartridge so I haven't had to replace it yet! It does scan color and has an app that you can manage files with via the PC. It also supports printing direct from your iPhone. Just fyi, there may be a newer model so you may want to check the brother website for the most current lineup.

Before I retired from an investigative agency a few years back we were scanning everything and needed high speed scanners for the volume. Those machines were several thousand. In my current business I am using HP 8720 4-in-one but have looked at their stand alone enterprise scanners that scans at about 150 inches per minute and holds a pretty thick stack of paper in the document feeder. That one sells for about $1K. I chose the 4-in-1 simply because I don't scan enough documents to justify a stand alone. Good luck with it.

You said she has a lot of stuff to scan, that means she wants a fast scanner. Get the ScanSnap. Really. Not only is it FAST, but it scan both side of the document at once.

And it’s reliable.

Another vote for the ScanSnap.

I have a S1500 and it is a workhorse.

Fast and reliable.
